INTRODUCING INBOX ZERO

Inbox Zero is a very popular strategy to deal with emails that many on the internet abide by. It is inspired by the extremely popular 4D Time Management method prescribed by David Allan, author of the massive bestseller Getting Things Done. The basic tenets can be extended to any sort of inbox—whether instant messages, group chats or any other.

In a nutshell, the Inbox Zero strategy requires one to be disciplined about going through inboxes regularly, and each time, getting to zero items pending. This is achieved by processing items in the inbox, one by one, without skipping, till one gets to zero items pending.

‘Processing’ here means following a simple pre-defined algorithm. Each item must either be Delegated, Done, Deferred, Documented or Deleted. Based on the urgency of the item and the effort required to deal with it, choose from one of the following options:

Delegate to someone else if the task is more relevant to them.

Do the item immediately, ONLY if it can be done in under two minutes.

Defer doing it to a specific time by putting it on your calendar.

Document it in your working memory if it contains information that might be useful later.

Delete (or Archive, if you want to retain a copy) the item from your inbox if it doesn’t require any action or is no longer relevant.
